Lead Atlas ("Lead Atlas", "we", "us") provides software that helps dental and healthcare practices manage their marketing, patient communications, and online reputation in one dashboard. This policy explains what information we collect, how we use it, and the choices you have. It applies to our website and our application.
Who we are

Information we collect
- Account information — name, email address, and login credentials for the practice staff who use the dashboard.
- Practice and patient communications — messages, enquiries, appointments, and reviews that flow through the channels a practice connects (for example a messaging inbox or a Google Business Profile).
- Data from connected services — where a practice authorises a connection (such as Google or a CRM), we access the specific data needed to provide the feature, as described below.
- Usage and technical data — basic logs and device/browser information used to keep the service secure and working.
Google user data
When a practice connects its Google Business Profile, Lead Atlas accesses that profile's data only to provide review-management features inside the dashboard. Specifically, we may:
- read the business's Google reviews, ratings, and reviewer names in order to display them; and
- publish, edit, or remove the business's own replies to those reviews at the user's direction.
We access this data using Google's official APIs and OAuth authorisation, which the account holder grants and can revoke at any time from their Google account. We never see or store a user's Google password.
How we use information
- To operate the dashboard and the features a practice enables.
- To display and respond to messages and reviews on the practice's behalf.
- To secure the service, prevent abuse, and provide support.
- To communicate with account users about the service.
How information is shared
We do not sell personal information. We share data only with:
- Service providers that host and power the product (for example our database and hosting providers, and the platforms a practice has connected), acting on our instructions.
- Authorities, where required by law.
Data retention
We keep information for as long as an account is active or as needed to provide the service, then delete or anonymise it, unless a longer period is required by law. You can ask us to delete your data at any time.
Security
We use industry-standard measures — encryption in transit, access controls, and reputable infrastructure providers — to protect information. No system is perfectly secure, but we work to safeguard your data and to promptly address any issues.
Your rights
Under UK and EU data-protection law you may have the right to access, correct, delete, or restrict the use of your personal information, and to withdraw consent for connected services. To exercise any of these, email jago.brooks@leadatlas.co.uk. You can also disconnect a Google connection at any time from your Google account permissions page.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
